Position Overview:
This position provides critical project and administrative support to the innovation initiatives in a dynamic and fast-paced environment. The position is based in JingAn District, Shanghai, China. The qualified candidate must be able to effectively manage projects, site initiatives and use various software and be able to coordinate and operate cohesively with colleagues at various levels across multiple business units and sites. This position is first to provide operational and administrative support to the Innovation Department of the Sinobiom, and secondarily serves as chief of staff/project manager to the global team in helping with procurement, scheduling, planning, execution, and tracking of meetings, etc.
This position requires coordination with different departments, internal/external business partners and vendors.
Responsibilities:
l Proactively maintain daily calendars initiate contact and establish good working relationships with others to maximize schedule coordination.
l Lead the workflow design, document filings, and data metrics collection and preparation.
l Contributing to the planning and development of projects
l Answer routine correspondence and assemble highly confidential and sensitive information.
l Communicating with stakeholders regarding project needs and goals
l Responsible for updating internal team timelines, calendars and task trackers.
l Responsible for taking meeting minutes, keeping time of meetings, planning meeting times and updating meeting schedules
l Supporting the planning, coordination, management of projects.
l Research information to support other teams and departments as needed
l Perform administrative tasks such as preparing estimates, scheduling meetings, etc. Leading Lead the coordination of
l Keep track of and report on R&D and business development progress.
l Act as a liaison for the innovation department and site personnel with regards to operational processes
l Complete any tasks assigned by the executives in an efficient and timely manner
Requirements and skills
l A Bachelor's degree in a science discipline is highly preferred
l 2+ years experience working as an administrative assistant or in a business support role ideally within the Biotech or Pharma environment is highly preferred.
l Complex meeting scheduling experience.
l Professional demeanor and excellent written and verbal communication skills in English and Chinese (Mandarin).
l Able to work within a fast-paced environment, adept at juggling multiple tasks and priorities and prioritizing independently. Highly organized and able to multitask and oversee several projects simultaneously
l Effective collaborator with a variety of stakeholders
l Prudent listener and team player, strong attention to detail and problem-solving skills
l Previous experience providing support for multiple people
l Must be able to maintain confidential information
l Proficiency in Microsoft Office and project management software
